Poll attendees during a Teams meeting https://blog.azccare.com/poll-attendees-during-a-teams-meeting/ Wed, 05 Jan 2022 13:15:31 +0000 https://blog.azccare.com/?p=79 As a meeting organizer or presenter, you can use Microsoft Forms to create polls before your Microsoft Teams meeting, then launch them during it so attendees from any endpoint (mobile, web, desktop) can view and answer. You can even poll attendees before your meeting and collect information ahead of it.

When you launch your poll, it will pop up as a notification on the meeting screen and also appear in the meeting chat window. Attendees can also create ad-hoc polls during a meeting to get quick feedback on the spot.

Teams desktop or web

Create a poll and then launch it before, during, or after your meeting

  1. In Teams, select Calendar.
  2. Find the meeting you’ve scheduled for which you want to add polls, and click or tap it.
  3. Select Chat with participants.
  4. Select  +  Add a tab, search for and select Forms, and then click or tap Add.
  5. Select Save. A new Polls tab will be added to your meeting.
  6. Select  + Create New Poll, and then choose one of the following:
    • Multiple Choice Poll – Create your question or statement, and then provide answer options from which your audience can choose.
    • Multiple Choice Quiz – Mark a correct answer for your multiple choice quiz. You can have a single option as a correct answer, or more than one if you select Multiple answers.

Note:  Multiple Choice Poll and Multiple Choice Quiz options are slowly rolling out and will be available soon for Microsoft 365 subscribers.

Note:  Multiple Choice Poll and Multiple Choice Quiz options are not yet available for GCC High and DoD environments.

    • Word Cloud Poll – Ask an open ended question and see responses reflected in a word cloud.

Note:  Word Cloud Poll option is slowly rolling out and will be available soon for Microsoft 365 subscribers. It won’t yet be available for GCC High and DoD environments.

  7. Add your question and answer options.
  8. As appropriate for your meeting, select Share results automatically after voting and/or Keep responses anonymous.
  9. Select Save. This will save your poll as a draft until you’re ready to launch it during your meeting.

Note: You’ll see DRAFT marked in green in the upper left corner of your poll to indicate it hasn’t been launched yet.

  10. To create more polls for your meeting, select + Create New.Microsoft Forms polls created in Teams in various states, such a live and draft
  11. You can launch a poll using either of these methods:
    • In the Polls tab, select Launch on the poll for which you want responses. You can do this before, during, or after your meeting.
    • Select the Polls icon in your meeting window, which will open a Polls pane. Select Launch on the poll for which you want responses.

Meeting attendees will see your question and answer options in a poll notification that appears in the middle of their meeting screen.

alternate text

Once attendees pick their answer, they’ll select Submit and you’ll be able to see their responses immediately. Meeting attendees also have the option of not participating in the poll by closing the poll notification that appears in the middle of their meeting screen without picking an answer nor selecting Submit.

Go to your Polls tab or Polls pane to see real time results of polls that are collecting responses.

If you want to close a poll, export poll results, or a delete a poll, select the drop-down list next to View results and select Close pollExport results, or Delete poll, respectively.

Limits and Specifications for Microsoft Teams https://blog.azccare.com/limits-and-specifications-for-microsoft-teams/ Sun, 28 Nov 2021 17:58:50 +0000 https://blog.azccare.com/?p=41 This article describes some of the limits, specifications, and other requirements that apply to Teams.

Feature Maximum limit
Number of teams a user can create Subject to a 250 object limit¹
Number of teams a user can be a member of 1,000²
Number of members in a team 10,000
Number of owners per team 100
Number of org-wide teams allowed in a tenant 5
Number of members in an org-wide team 5,000
Number of teams a global admin can create 500,000
Number of teams a Microsoft 365 or Office 365 organization can have 500,000²
Number of channels per team 200 (includes deleted channels)³
Number of Private channels per team 30 (includes deleted channels)³
Number of members in a Private channel 250
Maximum number of members in an Office 365 group that can be converted to a team 10,000
Channel conversation post size Approximately 28 KB per post4

1 Any directory object in Azure Active Directory counts towards this limit. Global admins are exempt from this limit, as are apps calling Microsoft Graph using application permissions.

2 This limit includes archived teams. To go beyond the maximum limit, you must contact Microsoft support.

3 Deleted channels can be restored within 30 days. During these 30 days, a deleted channel continues to be counted towards the 200 channel or 30 private channel per team limit. After 30 days, a deleted channel and its content are permanently deleted and the channel no longer counts towards the per team limit.

4 28 KB is an approximate limit because it includes the message itself (text, image links, etc.), @-mentions, number of connectors, and reactions.

Messaging

Chat

Users who participate in conversations that are part of the chat list in Teams must have an Exchange Online (cloud-based) mailbox for an admin to search chat conversations. That’s because conversations that are part of the chat list are stored in the cloud-based mailboxes of the chat participants. If a chat participant doesn’t have an Exchange Online mailbox, the admin won’t be able to search or place a hold on chat conversations. For example, in an Exchange hybrid deployment, users with on-premises mailboxes might be able to participate in conversations that are part of the chat list in Teams. However, in this case, content from these conversations isn’t searchable and can’t be placed on hold because the users don’t have cloud-based mailboxes. (For more, see How Exchange and Microsoft Teams interact.)

Teams chat works on a Microsoft Exchange backend, so Exchange messaging limits apply to the chat function within Teams.

CHAT
Feature Maximum limit
Number of people in a private chat1 250
Number of people in a video or audio call from chat 20
Number of file attachments2 10
Chat size Approximately 28 KB per post3

1 If you have more than 20 people in a chat, the following chat features are turned off: Outlook automatic replies and Teams status messages; typing indicator; video and audio calling; sharing; read receipts. The “Set Delivery Options” button (!) is also removed when private group chats contain more than 20 members.

2 If the number of attachments exceeds this limit, you’ll see an error message.

3 28 KB is an approximate limit because it includes the message itself (text, image links, etc.), @-mentions, and reactions.

Emailing a channel

If users want to send an email to a channel in Teams, they use the channel email address. When an email is part of a channel, anyone can reply to it to start a conversation. Here are some of the applicable limits for sending email to a channel.

EMAILING A CHANNEL
Feature Maximum limit
Message size1 24 KB
Number of file attachments2 20
Size of each file attachment Less than 10 MB
Number of inline images2 50

1 If the message exceeds this limit, a preview message is generated and the user is asked to download and view the original email from the link provided.

2 If the number of attachments or images exceeds this limit, you’ll see an error message.

Channel names

Channel names can’t contain the following characters or words.

CHANNEL NAMES
Characters ~ # % & * { } + / : < > ? | ‘ ” , .
Characters in these ranges 0 to 1F
80 to 9F
Words forms, CON, CONIN$, CONOUT$, PRN, AUX, NUL, COM1 to COM9, LPT1 to LPT9, desktop.ini, _vti_

Live event types

There are two ways you can produce a live event:

Production tool Description
Teams Plug in your laptop and go…

Produce the live event using Teams, a lightweight option to create the event and invite presenters and panelists to participate on their own devices.

An external app or device Professional camera and sound setup

Produce the live event using an external hardware or software encoder via Microsoft Stream. Use this option if you already have a production setup (for example, media mixers) that supports streaming to an RTMP service. This method is typically used in auditorium events, such as town halls, where a stream from a media mixer is broadcast to the audience.

Event group roles

Large live streaming events typically have several people working behind the scenes—the event group—to make them successful.

Role

Responsibilities
Organizer Schedules a live event and ensures the event is set up with the right permissions for attendees and the event group, who will manage the event.

  • Creates the live event.
  • Sets attendee permissions.
  • Selects production method.
  • Configures event options (for example, the moderated Q&A)
  • Invites attendees.
  • Selects event group members.
  • Manages reports generated after the event is over.

For more info, see the organizer checklist.

Producer As a host, makes sure attendees have a great viewing experience by controlling the live event stream.

  • Starts and stops the live event.
  • Shares own video.
  • Share participant video.
  • Shares active desktop or window.
  • Selects layouts.
Presenter Presents audio, video, or a screen to the live event, or moderates Q&A.

Note: Presenters can only share audio, video, or a screen (desktop or window) in live events produced in Teams.

Attendee

A viewer. Watches the event live or on-demand, using DVR controls, either anonymously or authenticated. Can participate in Q&A.

Who can create live events

To be able to create a live event, a person needs to have the following things. Your IT admin can provide more information.

  • A Office 365 Enterprise E1, E3, or E5 license or a Office 365 A3 or A5 license.
  • Permission to create live events in Microsoft Teams admin center.
  • Permission to create live events in Microsoft Stream (for events produced using an external broadcasting app or device).
  • Full team membership in the org (can’t be a guest or from another org).
  • Private meeting scheduling, screensharing, and IP video sharing, turned on in Team meeting policy.

Who can attend live events

Public events

If an event is public, anyone who has the link can attend without logging in.

Private events

If attendance is restricted to your org or to specific people and groups, attendees will need to log in to join.

If the event is produced in Teams, they’ll need a license that includes Teams. If it’s produced externally, they’ll need one that includes Microsoft Stream.
